terms and conditions.

(Because even creatives need some ground rules)

Terms of Service

Expansion Zone provides a variety of services including, but not limited to, Branding, Content, and Website Design. This outlines the basics of how I roll: how we’ll work together, what you can expect from me, and what I’ll need from you.

These Terms & Conditions form part of our working agreement and apply to all services provided by Expansion Zone.

Scope of Work

• Each project starts with a signed Scope of Work. This keeps us aligned on deliverables and expectations.
If you want to add things mid-way or at the end, I’ll quote separately and adjust timelines accordingly.
• Any changes will be documented and approved before proceeding.

Revisions & Edits

• Collaboration is encourage! During the build phase, I work closely with you to review, adjust, and refine the project.
• The project includes two rounds of final reviews: one prior to launch and one post-launch. These are for fine-tuning and confirming final details

Post-Launch
Once your project is live and final payment has been made, the initial scope of work is considered complete.

• Any further edits, updates, or changes — no matter how big or small — will be treated as new work and billed accordingly.
• For ongoing support, please chat to me about a retainer or maintenance package that suits your needs.

Payment Terms

• For large projects, a 50% non-refundable deposit is required to kick things off.
• The remaining 50% is due within 5 days of project completion.
• Payments delayed beyond 5 days get a 5% weekly late fee.
• Retainer clients are invoiced monthly, and payment is due on the 1st of each month.
• For ad hoc or one-off requests, full payment is required upfront.

Refunds

• Since everything I create is custom, refunds aren’t on the table.

Client Responsibilities

• You agree to provide access to a WordPress website with login credentials. If you don’t know what this is or how to get it done, let me know beforehand.
• You agree to provide content, assets, images, legal or other documentation, and external links as detailed in the SOW or as established during the project.
• The sooner you send things, the sooner your project starts and the faster it moves forward.
• You’re responsible for reviewing work and giving feedback in a timely way to facilitate progress.

Project Pause

If something unexpected comes up and you need to put the project on hold

• Get in touch with me
• Your project can be placed on hold for up to 6 months, but hereafter a new project will be initiated.
• Any work completed will be considered billable, and payments will be due within 7 days.
Your deposit remains non-refundable

Project Delays and Inactivity

This is really about my commitment to your project and your commitment to your project — and what happens when that commitment isn’t there.

• Projects typically take ±4–8 weeks, depending on scope.
• That timeline relies on me doing my bit — and you doing yours.
• If I’m waiting on collateral, feedback, or sign-off for more than 10 working days with no effort on your part to engage, I press pause.
• If it feels like you’ve taken a leave of absence, your commitment just isn’t there, or you’re simply ghosting me, your project will be paused. If this continues, your project will be placed on hold and marked as inactive.
• What that means:
 – No further work will be done
 – Your website will remain in development mode
 – Full and final payment becomes immediately due, regardless of project status
 – A reactivation fee will be charged if/when you want to resume, and your project will go to the back of the queue.

Project Cancellation

• If either of us decides to end the working relationship, all work completed up to that point will be considered billable, and payments will be due within 7 days.
• Deposits remain non-refundable.

Confidentiality

• Both parties agree to maintain confidentiality of sensitive information and not disclose any details without prior written consent, except as required by law.

Intellectual Property

• Upon final payment, you own the final deliverables created for your project.
• All collateral created by Expansion Zone remains our intellectual property.
• Expansion Zone retains the right to showcase the work in our portfolio and marketing materials unless otherwise agreed in writing.

Termination

• Either party may terminate this agreement at any time by providing written notice via email.
• If you cancel, the deposit remains non-refundable, and you are responsible for payment for all work completed to that date.

Dispute Resolution

• We are committed to open communication to resolve any disputes.
• If unresolved, mediation will be considered before any legal action.
• This agreement is governed by the laws of South Africa.

Amendments

• These terms may be updated from time to time, and the latest version will always be available here.

Entire Agreement

• This document represents the full and final agreement between us. Any changes must be agreed upon in writing.
